Preparing for your sleep coaching visit

Virtual Consults

1- Prior to our first visit together, you will complete 3 or more sleep diaries and your intake forms so that we can maximize our face-to-face time together. This allows me to review your current situation and come prepared to work on an achievable and gentle sleep coaching plan for you and your family. It can be therapeutic for you to write out and reflect on your sleep situation also.

Please upload your DIARIES to the secure message portal found HERE. You are welcome to upload information from a sleep tracking app if you use one already or you can download this fillable pdf file to use. Some clients like to print them out and hand write on them, take photos or scan back into a computer and then upload to the portal. Other clients fill them out directly into the fillable pdf file. Let me know if you are having trouble with any of these steps by sending an EMAIL to me ASAP.

2- Virtual visits are conducted over the PracticeQ telehealth platform (my charting platform) a HIPAA-compliant system. All you need to do is click on the link in the email and I will meet you in the room. You can use your smart phone, tablet, or computer for our visit-just be sure that your wifi or cell service is connected and you’re good to go. I’m happy to meet with as many family members as can make it to our visit. I also understand if one parent or caregiver is with your child(ren) so you can fully focus on our visit. We can make any situation work!

3- Please be sure to complete your intake forms and consents prior to our visit. Consents must be signed prior to our visit.

Office Visits:

Tuesday visits all occur in the office beginning in September 2024 which is located in the Bellingham Towers Suite #280 inside the Integrative Physical Therapy Services office. Directions found HERE. There is street parking available and it is free until 11am. You can also park in the Bellingham Towers lot, please use code 1929 to validate your parking when you pay at the meter or you will be ticketed. There is a bus stop at Champion & Grand which is a 2 min walk to the Towers. There are elevators in the building and room for strollers inside the office space. Call 360-336-6468 if you are having difficulty finding the office when you arrive.

If the curtain is drawn at the back of the room when you get here, make yourself comfy on the couch and have a snack or tea from the kitchenette. I will be out shortly to start our visit!

2- Office visits are conducted in my cozy office space in the Bellingham Towers downtown. You are welcome to bring your child(ren) with you! I have some toys and books there, but feel free to bring things from home that they like to play with. If you prefer not to have your child(ren) with you at our visit, that’s ok too! This space is all about you feeling comfortable and coming ready to talk all things sleep.

Illness/Cancellation Policy:

1- If you or a member of your household are experiencing any symptoms such as a fever, coughing, or shortness of breath you must cancel or reschedule your lactation appointment and the cancellation fee will be waived in this case. Families no longer are asked to wear a mask, but you may wear one if you prefer.

2- To protect yourself and your family I clean and sanitize all of my equipment after every visit, wash/sanitize my hands before and after our visit, wear a mask if requested, and commit to canceling or rescheduling your appointment if I develop any symptoms. 

Billing Info

1-Payment options for sleep coaching visits include: cash (office only), check (office only), HSA, or credit card which is processed through Square’s secure processing server. Square meets the high standards of HIPAA and the banking industry for security and privacy with regard to financial transactions. You will receive an emailed receipt after your visit is completed.

2-Insurance companies do not allow for a sleep coach to bill for services directly. However, you may be able to use your FSA/HSA funds to cover our visits together. To ensure coverage with your FSA program, reach out to your plan administrator to find out the requirements for “sleep consulting services” and then you will want to get a “letter of medical necessity” from your child’s primary provider. You can use your HSA card to pay for services, just keep your receipt in case they request proof of services rendered. For FSA, you will pay by cash, check, or card and submit your receipt for reimbursement.
