Preparing for your visit

I know that when sleep feels out of reach, everything else feels harder. Please know that you are in expert hands. I’ve put this guide together to help simplify our first steps and ensure you feel fully supported from the moment I walk through your door (or join your screen).

Take a deep breath—we are going to find a rhythm that works for your whole family. I look forward to our visit.

Sleep Support Visits

  • Our Shared Health & Safety Commitment

To ensure the highest level of clinical safety for your newborn and your household, I maintain rigorous health protocols for every visit.

    1. Wellness & Rescheduling

The health of your family is my priority. If you or any member of your household is experiencing symptoms such as a fever, cough, or shortness of breath, please reach out to reschedule your appointment.

    • Peace of Mind: In the event of illness, all cancellation fees are waived.

    • Masking: While families are not required to mask during our session, you are absolutely welcome to do so if it makes you feel more comfortable.

    2. My Clinical Standard of Care

To protect the "Full Circle" of your home environment, I commit to the following at every consultation:

    • Sanitization: All clinical equipment is thoroughly cleaned and sanitized with hospital-grade disinfectant after every use.

    • Hand Hygiene: I practice strict hand-washing and sanitization protocols before and after any physical contact with you or your baby.

    • Personal Protection: For your added protection, I will wear a mask during our time together.

    • Practitioner Wellness: I maintain the same standard I ask of my families—if I develop any symptoms of illness, I will contact you immediately to reschedule our session.

  • 1. Preparing Your Sleep Insights

To maximize our face-to-face time and build a truly personalized strategy, I ask that you complete at least three days of sleep diaries along with your intake forms prior to our first visit (excluding Foundations sessions).

This allows me to arrive with a deep clinical understanding of your current rhythms and prepare a gentle, achievable plan tailored to your family. Many parents find the process of documenting these patterns to be a therapeutic way to reflect on their journey so far.

    • How to Share: Please upload your diaries to my secure, HIPAA-compliant message portal HERE.

    • Flexible Formatting: You are welcome to upload screenshots from a tracking app, use this Fillable PDF, or simply print the logs, hand-write your notes, and upload a photo or scan of the pages.

    • Support: If you run into any technical hurdles, please EMAIL ME as soon as possible so we can troubleshoot together.

    2. Our Virtual Connection

Our sessions are held via PracticeQ, a secure, HIPAA-compliant telehealth platform.

    • Joining the Session: Simply click the link in your confirmation email at our scheduled time—no complex software or account setup is required.

    • Your Setup: You can join via smartphone, tablet, or computer. Just ensure you have a stable Wi-Fi or cellular connection.

    • A Family Affair: I welcome and encourage as many family members or caregivers to join as possible. If one parent needs to be with the children so the other can focus entirely on our strategy, please know that I am happy to accommodate whatever dynamic works best for your home.

    3. Essential Consents & Forms

To ensure we can begin our work without delay, please confirm that all intake forms and consents are completed and signed before our visit. For clinical and legal reasons, signed consents are required before our consultation can officially commence.

    • Bringing Your Little Ones: You are more than welcome to bring your children along! I have a curated selection of toys and books to keep them engaged, though you are always welcome to bring their favorite comforts from home. This visit is for your child too.

    • A Space for You: If you prefer to attend our session solo to focus entirely on our strategy, that is perfectly okay too. This time is about whatever makes you feel most supported and at ease.

  • Now on Fridays!

    2. Home Connection

There is no place like home for uncovering your family’s unique sleep rhythm. I am more than happy to meet with as many family members as can attend our visit.

I understand the reality of life with little ones—if you prefer for one caregiver to engage with the children while we dive into the details of your plan, I fully support that. My goal is to meet you exactly where you are, in the space where you feel most comfortable.

    3. Essential Consents & Forms

To ensure we can begin our work without delay, please confirm that all intake forms and consents are completed and signed before our visit. For clinical and legal reasons, signed consents are required before our consultation can officially commence.

  • How do you protect my family's private information?

I utilize a "Privacy-First" technology stack. Every tool I use—from our communication portal to my clinical note-taking software—is fully HIPAA-compliant. This means your Protected Health Information (PHI) is encrypted to federal medical standards, ensuring it is only accessible by me for the purpose of your care.

What is Scope Health AI, and why do you use it?

Scope Health AI is my "digital clinical scribe." During our sessions, it transcribes our conversation so I can focus 100% on you and your baby rather than a computer screen.

    • Is it eavesdropping? No. It only records when I explicitly turn it on at the start of our session.

    • Where does the audio go? The audio is encrypted, processed into a clinical note, and then the recording is permanently deleted. It is never stored or sold.

    • Does it "learn" from my baby? No. Your data is never used to train global AI models. It is strictly a one-to-one tool for your specific medical file.

What is the Secure Messaging Portal?

This is your secure Home Base. Instead of sending sensitive information over unencrypted email or text, we use this portal for:

    • Accessing your personalized sleep and feeding guides.

    • Secure messaging for real-time support.

How do I share videos and large files with you?

For large uploads—such as video clips of your baby's sleep environment or long-form feeding logs—I use a dedicated Private Google Drive Folder created specifically for your family.

    • Secure Access: You will receive an invitation to this folder via your primary email. Access is restricted to you and Essential Lactation only.

    • What to Upload: This is the best place for video footage (great for troubleshooting big transitions) and photos.

    • Organization: Please title your uploads with the date (e.g., 2026-03-15_BedtimeVideo) so I can review them accurately within your clinical timeline.

Can I opt-out of using these tools?

Absolutely. Your comfort is my priority. If you prefer that I take manual notes or avoid using the digital portal, simply let me know. We can adjust our Full Circle workflow to whatever feels most secure for your family.

  • Navigating Your Digital Experience

To provide you with the most comprehensive support, my practice utilizes three distinct digital rooms. Here is how to use each one:

    1. The Full Circle Family Portal

This is your Education & Community Hub. It is designed for learning and connection.

    • The Essential Archives: Your library of resources. This is where you will find my clinical guides on feeding, sleep transitions, and family wellness (including everything from The Great Unswaddle to Toddler Weaning Scripts).

    • The Full Circle Common Room: Our monthly virtual village. This is a recurring live support group where you can connect with other families, share wins, and ask general questions in a moderated, supportive environment.

    • If you have purchased a package that includes access to the portal, you will receive an email invitation with instructions for entry and there is always a login link at the footer of this website! Families with single visits can also choose to purchase access to the portal separately.

    2. The Secure Messaging Portal

This is our Direct Clinical Line.

    • How it’s different: Unlike the Archives or the Common Room, this portal is HIPAA-secure and intended for 1:1 private communication.

    • Use this for: Quick questions about your specific plan, clinical updates, or anything sensitive that you wouldn't share in a group setting.

    3. The Private Google Drive Folder

    This is your Document Vault.

    • How it’s different: This is purely for heavy lifting data.

    • Use this for: Uploading long-form video clips of sleep, large photo files, or other media that is too large to upload into the Secure Messaging Portal. While the message portal is for talking, the Drive is for viewing the evidence of your baby's rhythm.

  • 1. Payment Methods & Privacy

Flexible Investment Options For your convenience, Essential Sleep accepts a variety of payment methods including cash or check (for in-person visits), as well as HSA/FSA cards and all major credit cards. Digital transactions are processed via Square’s secure, HIPAA-compliant server, ensuring the highest standards of financial privacy. Please note that automated digital receipts may include the date and type of service; if you prefer maximum privacy, payment by cash or check is always an option.

    2. Insurance & HSA/FSA Guidance

Navigating Coverage & Reimbursement While insurance providers typically do not allow for direct billing of sleep consulting services, many families successfully utilize their HSA or FSA funds to cover the cost of care.

    • For HSA Users: You may use your HSA card directly at the time of service. Please retain your itemized receipt for your records should your provider request proof of services rendered.

    • For FSA Users: Most plans require you to pay upfront via cash, check, or card and submit a receipt for reimbursement.

    • The 'Letter of Medical Necessity': To ensure seamless coverage, I recommend reaching out to your plan administrator to confirm their specific requirements. Many providers simply require a 'Letter of Medical Necessity' from your child’s primary physician to approve sleep consulting as a qualifying expense.

  • I’m just a message away. Feel free to email or text me with any questions as you prepare for our visit.
